About RecordSteward
RecordSteward is records software for condo and HOA associations. It helps CAM Firms and Boards organize association documents, surface what's missing, and keep records ready for owners, lenders, insurers, and counsel.
The Inspiration for RecordSteward
The idea started when a friend who attends Board meetings of a large Florida condo community described a problem in need of a solution. CAM Firms and Board volunteers are expected to know Florida's extensive record-keeping rules and produce records quickly when someone asks. Most don't have the detailed knowledge or the tools to keep records ready for those requests.
Years ago, speed-dating events were run by rabbis in a handful of US cities, using paper forms and phone calls to connect people who matched. After attending one of these events in Boston, Tom built an automated web-based system called 8minuteDating, which he grew into the world's largest speed-dating company, operating in 100+ markets. When Tom learned about the records challenges CAMs and Boards face, he recognized a similar pattern: a pressing need, tedious manual workflows, people who would benefit from a solution, and a gap that software can close.
A few things made this the right business to build now. Florida's condo and HOA record requirements have grown more demanding, especially after the post-Surfside reforms raised the stakes for inspection records and reserves. The risk of getting records wrong falls on the CAM Firm and the Board. And AI has become useful enough in 2026 to help with the document-organization and gap-detection work — though AI alone doesn't solve the problem. Real people, dedicated to the workflow, are still needed.
That's what RecordSteward is.

Florida-first, nationwide ready
RecordSteward strives to be the most useful records management tool for CAMs and associations nationwide. We started in Florida — the state with the toughest record-keeping requirements — so that our software would be capable of meeting any state's standards. We welcome CAM Firms and Boards across the US to learn how RecordSteward can help them save time and money by organizing their records, identifying gaps, preparing packets, and tracking their records activity.
