Overview
RecordSteward is committed to protecting the privacy of our users and visitors. This policy describes how we collect, use, and protect information when you visit our website, use our contact or demo forms, or use the RecordSteward application.
Information We Collect
When you submit our demo qualifying form, we collect the fields you provide: name, email, phone (optional), organization, title, role (CAM Firm / HOA or condo board member / Other), number of associations or units where applicable, city, state, and any message you include.
Contact Form
When you submit our contact form at recordsteward.com/contact, we collect the fields you provide: name, email, your role (optional), and your message. Submissions are delivered to our team as email using Resend (resend.com), a service provider that processes the message to provide email delivery to us under its own terms and privacy policy. Contact form submissions are separate from Customer Data uploaded into the RecordSteward application, which is governed by the Terms of Use, any applicable Order Form or data processing addendum, and this Privacy Policy where applicable. We retain contact form submissions for as long as needed to respond to your inquiry, maintain business records, operate and improve our services, protect against misuse, and comply with legal obligations. To request deletion of your submission, email privacy@recordsteward.com; we may retain information where required or permitted for legal, security, fraud-prevention, dispute-resolution, backup, or legitimate business purposes.
Support Messages from Signed-In Users
If you contact support from within the RecordSteward application while signed in, your message may automatically include account-related information such as your name, email address, firm or organization, role, and page or feature context, so we can identify your account and assist you. These messages are handled in a similar manner to contact form submissions, except that they may include account or application context. Please do not include sensitive personal information, privileged information, or confidential association records in support messages unless necessary for the support request.
Third-Party Services
Our demo flow uses two third-party services. Formspree (formspree.io) receives the form submission and delivers it to us as email; submissions are retained in the Formspree inbox per our account settings. Calendly (calendly.com) powers scheduling; if you book a demo, your name and email pass to Calendly to create the event. Both services process data under their own privacy policies.
Service Providers and AI
Our service providers may process information for hosting, email delivery, analytics, error monitoring, support, authentication, AI services, and other functions needed to provide, secure, support, and improve RecordSteward. Customer Data processed by AI features is used to provide the service to the customer and is not used to train, fine-tune, or improve generalized AI models or third-party AI models except where expressly authorized in a signed Order Form, data processing addendum, or other written agreement.
Data Retention and Deletion
We retain demo form submissions for as long as needed to respond to your inquiry and maintain business records. To request that we delete the data we hold about you, email privacy@recordsteward.com and we will remove your submission from our records and ask Formspree to do the same, except where retention is required or permitted for legal, security, fraud-prevention, dispute-resolution, backup, or legitimate business purposes.
Analytics
We may use Vercel Analytics to collect anonymous, aggregate data about page views and visitor counts. Vercel Analytics does not use cookies and does not collect personal information. If analytics are enabled, data is processed by Vercel in accordance with their privacy policy.
How We Use Information
We use contact form submissions to respond to your inquiries and schedule demos. We do not sell personal information or share it with third parties for their own marketing purposes.
Data Security
Contact form submissions are transmitted over encrypted connections (HTTPS). We apply standard security headers including content security policies, referrer restrictions, and permission controls.
Error Monitoring
We may use Sentry for error monitoring. If enabled, Sentry collects technical error data (stack traces, browser type, page URL) to help us fix bugs. It does not collect personal information from form submissions.
Cookies
This website does not set first-party cookies. Third-party tools, if enabled, may set their own cookies. You can control cookie behavior through your browser settings.
