Summary

RecordSteward is software for storing, organizing, and tracking uploaded records against jurisdiction-based requirement profiles and other customer-configured settings. It is used by community associations, boards, management firms, and other organizations, and records prepared in RecordSteward may be shared with attorneys, insurers, lenders, and other reviewers. RecordSteward is not a law firm and does not give legal advice. Records Readiness summaries, readiness scores, document statuses, requirement profiles, missing-item flags, packet checklists, and AI suggestions are informational tools only — not legal advice, not a compliance determination, and not a substitute for review by your attorney or other qualified adviser.

1. No legal advice

RecordSteward is a records-management software service operated by JumboNomics LLC. Nothing on this website or in the RecordSteward application — including Records Readiness summaries, readiness scores, requirement profiles, requirement lists, category labels, document statuses, missing-item flags, packet checklists, AI suggestions, exports, or help content — is legal advice. Using RecordSteward does not create an attorney-client, fiduciary, agency, professional-adviser, or official-records-custodian relationship with JumboNomics LLC, RecordSteward, or any of their personnel. In this disclaimer, "your association" includes any organization, association, or portfolio whose records are stored or tracked in RecordSteward.

2. The Records Readiness summary is informational

Your Records Readiness summary — including the readiness score, category breakdowns, and "On File" and "Missing" statuses — is an informational tool generated from your settings, the requirement profile assigned to your association, and the documents your team has uploaded, reviewed, and confirmed within the service. It is not a legal opinion or a determination that your association complies, or does not comply, with any law — including, for Florida community associations, Florida Statutes Chapters 718, 719, and 720 — any administrative rule, any governing document, or any other legal obligation. Verify legal, regulatory, access, redaction, retention, posting, inspection, production, and compliance questions with your association's attorney or other qualified adviser.

3. Requirement profiles can change and may not cover every obligation

Laws, administrative rules, agency guidance, governing documents, and local requirements can change, and RecordSteward's requirement catalogs and jurisdiction-based profiles may not reflect the most recent changes or every organization-specific obligation. Your association may have obligations RecordSteward does not track — for example, requirements in your governing documents, contracts, insurance policies, loan agreements, local ordinances, court orders, management agreements, lender requirements, or professional-adviser instructions. The absence of an item from your Records Readiness summary, requirement profile, or any other RecordSteward screen does not mean the obligation does not exist or does not apply to your association.

4. AI suggestions can be wrong

RecordSteward uses artificial intelligence to suggest document categories, tags, and matches to required records. AI suggestions can be incorrect, incomplete, outdated, or matched to the wrong requirement or document. AI may also misclassify records that are confidential, privileged, exempt, non-accessible, restricted from owner or member access, or that require redaction. Every AI suggestion requires human review and confirmation before it counts toward your Records Readiness summary, and you are responsible for reviewing, accepting, correcting, or rejecting AI suggestions.

5. Final decisions are made by people, not the software

RecordSteward helps identify, organize, compare, and prepare records, but final decisions about document classification, status changes, completeness, legal sufficiency, redaction, owner or member access, compliance, posting, export, production, and use should be made by authorized personnel and, where appropriate, your association's attorney or other qualified adviser.

6. Your documents and entries are your responsibility

RecordSteward stores and organizes the documents, files, and information — including metadata, labels, tags, settings, and confirmations — that you and your authorized users upload, enter, configure, or approve. It does not independently verify that any document is authentic, accurate, complete, current, properly executed, properly adopted, legally sufficient, or the correct version.

7. User access and permissions are your responsibility

You are responsible for deciding who may access your RecordSteward account, what authority those users have, how roles and permissions are configured, and whether users are permitted to upload, review, confirm, edit, export, share, or rely on records stored in the service.

8. Not a substitute for official records

RecordSteward helps organize records, but it is not a substitute for maintaining your association's official records, books, minutes, notices, ledgers, contracts, or other materials in the manner required by law, your governing documents, your professional advisers, or your organization's policies. Responding to records requests, inspections, copying requests, production and redaction obligations, statutory deadlines, website or portal posting duties, notices, filings, and distributions remains your responsibility.

9. Account control and access disputes

RecordSteward does not decide disputes between a management firm, association, board, owner, member, successor manager, or other person about who owns, controls, or may access records or an account. Access is provided through the roles and permissions configured on your account or as required by binding legal process.

10. No guarantee of outcomes

RecordSteward does not guarantee that records, exports, packets, tags, statuses, checklists, AI output, or Records Readiness summaries will satisfy a records inspection request, owner or member access request, government inquiry, owner dispute, lender request, insurance request, audit, lawsuit, arbitration, mediation, board action, management transition, or other proceeding.

11. Software availability and security

No software service is immune from interruptions, errors, data loss, or security incidents. RecordSteward does not guarantee that the service will be uninterrupted, error-free, or secure. Keep originals and your own copies of important records. RecordSteward is not a business-continuity, disaster-recovery, statutory-backup, or geographic-record-location solution, and does not represent that it maintains any specific type or amount of insurance coverage, unless expressly agreed in a signed Order Form or other applicable written agreement. Warranties, limits on liability, service availability, data export, deletion, and security-incident notice are governed by the RecordSteward Terms of Use and any applicable Order Form, data processing addendum, or other written agreement.

12. No professional services

RecordSteward does not provide legal, regulatory, accounting, tax, auditing, insurance, engineering, inspection, reserve-study, community association management, records-request fulfillment, redaction, statutory posting, or official-records custodian services. Where those services are needed, consult the appropriate attorney, accountant, insurance adviser, engineer, inspector, licensed community association manager, or other qualified professional.

13. No government affiliation

RecordSteward is not affiliated with, endorsed by, approved by, certified by, or acting on behalf of the State of Florida, the Department of Business and Professional Regulation, any court, county, municipality, or clerk's office, or any other government agency.

14. Terms of Use govern

This disclaimer supplements the RecordSteward Terms of Use, which govern your access to and use of the website and service — including warranty disclaimers, limits on liability, user responsibilities, account rules, and other legal terms. If this page and the Terms of Use ever conflict, the Terms of Use control.
